Using Templates

Okay! Now let’s get into the juicy stuff: How do you actually create and use Templates?

1️⃣ Accessing Templates

Open the VetScribe app on your phone or tablet.
Tap "📋Templates" on the bottom row.
You'll see several pre-loaded templates, or the option to create your own.

2️⃣ Building a Template

VetScribe offers 3 pre-built, DVM-approved templates to cover common case types and help get you started:

"Vomiting / Diarrhea"
“Limping”
“Bite Wounds”

You can also follow the instructions to create your own template!

3️⃣ Using the Template

Once you've created a template, the fun starts! You can use your templates to create a complete case note from one recording.

Record your findings: Use VetScribe's voice-to-text feature to capture your notes as you examine the patient.
Navigate to your Patient, add a New Case, select the “Use template” toggle, and pick your template from the dropdown:

Start recording! Your voice note will automatically populate the template sections.
Note: It can take a few minutes to show up while we process the recording + template in the background. We find that most are done in under 2 minutes but they can take longer based on the length of your template and recording

📝 Only use one recording per template! Additional recordings will overwrite the previous inputs

4️⃣ Adding to Your EMR

As always, your case notes are saved as-you-go to your VetScribe account, which you can access from any device.

Log into the web app (app.vetscribe.co - we recommend bookmarking this in your browser) using the same login credentials as your mobile app
Navigate to the case note you want to copy and click “Copy text”
Paste into your EMR system in desired case section (Ctrl+V / ⌘+V)
Repeat as needed!

5️⃣ Managing Your Templates

VetScribe allows you to easily manage your collection of templates.

Edit or delete templates: You can edit or delete any of your custom templates or their contents. Just keep in mind, we don’t store any of your data outside of your account, so any deletion can’t be undone!

Create Your Own Template

<aside> ✏️ We recommend building your Templates on the web app (app.vetscribe.co) for the fastest experience (especially if you’re transferring a bunch from your EMR!). Our mobile app supports creating new templates, but we find it generally easier to use the web app for creation.

Tap on the "+ Add Template" button.
Give your template a name so you can easily identify it
Click into the template, and start by adding a Section using the “+” in the top right
- Toggle “Simple section” to create a Section with just a Textbox:

Add, remove, or rearrange the sections of your template to match your workflow.

Add a Subsection like “Vitals” using the “+” in the top right, and select which section to put it under. Note: Simple Sections can’t have Subsections

Add Fields to the Subsections for your specific case details - this is where you get to really customize your template to match your style
- Don’t forget to use #INPUT# in your fields so you can add specific values to the template from your voice notes!

Tips for Getting the Most Out of VetScribe Templates

Take advantage of the pre-built templates: Using (and editing!) pre-built templates are a great way to save time and get set up with some SOAP notes.
Customize the templates to fit your workflow: Don't be afraid to add dozens of Sections or Fields the goal is to create templates that work best for you and your practice.
Only record what you want to add to the template: If you have “Ears: normal on exam” as a default field, no need to record a note on ears! Our goal is you spending less time on records, and the less time you have to spend dictating notes the better.
Use #INPUT# to maximize your experience: VetScribe will auto-populate details of your voice note into the Template, matching your notes to the appropriate #INPUT# fields.
Review and edit your notes before finalizing them: As always, it's important to review your notes carefully before finalizing them to ensure that they are accurate and complete!
